CANCELLATION POLICY

Cancellation Fees - Summary with further details below:

  • No Call/No Show - 100% of the Base Service charge

  • Late Cancellation - 50% of the Base Service charge

Cancellations and Missed Appointments - Our Perspective:

The client is expected to attend each scheduled session on time. A cancelled or delayed appointment delays our work and can negatively impact other clients.  Since your appointments involve the reservation of time specifically for you, and out of respect for The Hedda Foundation and our other clients, a minimum of 24 hours’ notice is required for rescheduling or canceling an appointment. We appreciate more than 24-hour notice when possible, as we can then make that time available to other clients. Therefore, if you should know before the required 24-hour notice that you will not be able to attend our session, PLEASE, PLEASE call or text us at 707-889-1116, so that we have time to fill your slot and can put another client in your space that may need it. The more advance notice time, the better.

A late cancel or no-show appointment hurts at least three people: you, our Channeler, and another client who could have potentially utilized your time slot. Channeling sessions are scheduled in advance and are a time reserved exclusively for our clients. When a session is cancelled without adequate notice, we are unable to fill this time slot by offering it to another client.

When the Cancellation Fee is Waived:

Our enforcement of this Cancellation Fee Policy is at our discretion. In general, the only exception to this Cancellation Policy is in the event of a serious illness or emergency. We offer one grace for these purposes every six months. Some examples of emergencies are car accidents, deaths in the family or extreme illness.

Work issues do not constitute emergencies. This cancellation policy also applies even if missing the appointment was an unintentional act. If both parties in a Duet cannot attend, consider having one attend alone instead of cancelling altogether and wasting the slot.

Although The Hedda Foundation may send you text or email reminders about upcoming appointments, this is done as a courtesy and only if you consent to receive such communications by providing us with your email address and cell number. It remains your sole responsibility to keep track of and timely attend all scheduled channeling appointments, whether or not you receive the text or email reminder. It is your responsibility to inform the office if your phone number or email has changed.

Our FREE Connection Clinic is Available to Avoid Technology Challenges with Zoom sessions:

For all Zoom appointments, we offer a Free Connection Clinic for the 15 minute slot just prior to your scheduled session (ie: for a 7PM appointment slot, the Connection Clinic is available from 6:45 to 7PM). Therefore, we cannot accept a client-initiated cancellation due to technology challenges. Further, The Hedda Foundation offers no grace period delays due to technology challenges and the billing clock for a session begins at the designated appointment start-time. Therefore, it is the client’s responsibility to log into a Zoom session during the 15-minute pre-session Connection Clinic timeframe to ensure that all technology and/or self-care issues are resolved before the session begins.   

Cancellation Fees - Additional Terms:

  • No Call/No Show: Anytime you fail to attend a scheduled appointment without giving prior notice of your intended cancellation, you will be charged 100% of the Base Service charge for the no show session. The credit card information that you previously provided will be used to process this payment. By providing us with your credit card information or booking an appointment, you consent to this policy.

  • Late Cancellation or Reschedule: Any session that is missed by canceling less than 24 hours in advance may be charged up to 50% of the Base Service change for the cancelled or rescheduled session, upon the discretion of The Hedda Foundation. The credit card information that you previously provided will be used to process this payment. By providing us with your credit card information or booking an appointment, you consent to this policy. 

  • Repeated Cancellations: Should you continue to maintain the practice of cancelling your sessions without adequate notice, we reserve the right to discontinue providing Channeling services to you and will terminate your client relationship.

Wait Time Grace Period for Late Appointments:

Due to the length of time provided for each appointment, it is critical that you arrive on time for your appointments. As described above, the billing clock begins at the originally scheduled time, irrespective of whether the client is late to join the session. If you are more than 15 minutes late to your appointment, without providing prior notice, we will have no choice but to reschedule your appointment and you will be responsible for the 100% fee of a no show.

REFUND and DISPUTE POLICY

As a service provider, we do not issue Refunds for our services. Prior to scheduling an appointment for any of our Private Services and public Clusters, we require that all of our clients sign an Informed Consent Agreement / “Waiver”. In that Agreement, the client understands and agrees to the following clause:

The Hedda Foundation’s Services are presented and agreed to in Good Faith: As the Participant, I understand that The Hedda Foundation “THF” has no control over the occurrence or non-occurrence of my desired communication. I share this good faith commitment and agree to hold THF harmless, regardless of the outcome of my channeling Sessions, and/or in the event that my desired outcome does not ensue.

If a potential client cannot agree to the abovementioned clause by signing the Waiver, then we will not allow them to schedule/conduct a channeling session with The Hedda Foundation. Therefore, we do not honor disputes nor issue refunds for our services since the client has agreed to accept personal responsibility for the outcome of their sessions.
